How do we get our existing customers and members across?+
Settings > Import takes spreadsheets of customers and families, memberships, passes, gift cards, account credit, signed agreements, bookings and visit history, and reads ROLLER and Rock Gym Pro exports as they come. Where your current system has an API we can work with it for a faster move. We do the first import with you.
What does it cost?+
£365 per site per month with every feature in, plus usage: £1 per 1,000 emails, 6p per text message, and Ask HQ metered per use with a monthly cap you set. Card processing is subject to volume. No set-up fee, no contract and nothing per member of staff.
What does it run on?+
A browser. The back office works on a laptop or a phone; the POS, self check-in kiosks and kitchen screens run on any tablet or a TV with a browser. Nothing to install.
Can guests book from our own website?+
Yes. The online checkout sits on your website as a page or a pop-up in your colours, with your products, member prices and offer codes, and links straight to a date, product or time.
What about card payments?+
Cards are taken online in the checkout and in person on the POS, through a card provider, so card details never touch our servers. Cash, gift cards, account credit and business accounts sit alongside, and one sale can be split across several.
We have more than one site.+
Good. Café and shop items are set up once and sold at every site, bookable products are copied between sites, each site counts its own stock, and reports can be per site or across all of them.
Is our data safe?+
Each venue's data is kept apart at the database level, every staff sign-in needs a second step, permissions deny by default, and there's an audit log of who saw and changed what. Guests' consent is kept per brand and honoured everywhere.
Can we try it before we commit?+
Yes. Registering sets your venue up with sample data so you can book, sell and check people in before any of your own data goes near it, with no card and no commitment. LeisureHQ was built by running it in real venues, so expect it to hold up.
